What is iBill.ca?

iBill.ca is online invoicing and accounting software built for Canadian small businesses, freelancers and contractors. You can create and send invoices and quotes, get paid online, track expenses, mileage and time, and keep real double-entry books with financial statements and GST/HST/PST reports.

Is iBill.ca legitimate?

Yes. iBill.ca is operated by iBill.ca Inc., a Canadian company based in Calgary, Alberta. iBill provides online invoicing and accounting software for Canadian businesses outside Quebec.

We publish our pricing, Terms of Use, Program Policy, Privacy Policy, security information and company information so businesses can review how the Service operates before creating an account.

Is iBill.ca a Canadian company?

Yes. iBill.ca Inc. is a Canadian company based in Calgary, Alberta. More than 1,200 Canadian businesses have signed up for iBill. Read more about us and our founder.

Is iBill.ca available in Quebec?

iBill is not currently available to businesses operating primarily in Quebec. We plan to serve Quebec businesses when iBill is ready to meet the applicable Quebec requirements and provide the Service appropriately for Quebec businesses.

Until then, new Quebec businesses should not register for iBill. We will communicate when Quebec becomes supported.

Who is iBill.ca for?

iBill is designed for sole proprietors, freelancers, contractors and small businesses who want professional invoicing and double-entry accounting without a monthly subscription. It covers the everyday work of billing clients, getting paid and keeping records, while leaving tax advice and filing decisions with you and your accountant.

Pricing

Is iBill.ca really free?

Yes. iBill.ca is free today, and no credit card is required. There is no per-invoice charge or usage cap, and the current plan includes all available iBill features. See our pricing page.

What happens if iBill introduces paid plans?

Your account is free today, and you will never be charged automatically. If paid plans are introduced in the future, we'll notify you in advance and you'll decide whether to continue. Early users will receive preferred terms.

Does iBill charge a fee on online payments?

No. Online card payments are processed by Stripe at Stripe's own rates, and iBill does not add a payment-processing fee of its own.

Your Data

Where is iBill data processed?

iBill.ca is a Canadian company, but our core infrastructure runs on third-party cloud providers whose primary processing regions are in the United States. Transactional email, analytics, and sign-in services may also involve processing in the United States or on globally distributed infrastructure.

Our Privacy Policy describes the providers we use, the information they process, and where processing occurs.

How does iBill protect my data?

All traffic is encrypted in transit with TLS (HTTPS), and data is encrypted at rest. Passwords are stored only as bcrypt hashes, sign-in has automated protection against repeated failed attempts, and posted financial records are tamper-evident. Full detail is on our security page.

Can I export my data?

Yes. Your data remains yours. You can download invoices as PDFs and reports as CSV files from inside iBill, and you can request a complete export of your data at any time through the privacy request page. We recommend keeping your own copies of important financial records as a standard business practice.

Does iBill use customer data for AI training?

No. We do not sell your data, and we do not use your data, invoice content, financial records or chat-assistant conversations to train third-party AI models without your explicit prior consent. See our Terms of Use.

Features

Does iBill support Canadian tax rules?

iBill calculates GST, HST and PST for supported Canadian provinces and territories. Where a non-Quebec business invoices a Quebec-based client, QST calculation is also available as a convenience.

iBill currently supports Canadian businesses outside Quebec. Quebec is planned for a future phase when we are ready to meet the applicable Quebec requirements.

iBill provides tax-related tools, not tax advice. Tax treatment can depend on the business, transaction, customer, place of supply, exemptions and other circumstances. Review important tax information before filing or remitting taxes, and consult a qualified professional where appropriate.

What accounting features does iBill include?

Invoices, quotes, recurring invoices, credit notes, client statements and automated payment reminders; online card payments through Stripe and a client portal; expenses with receipt photos, mileage, time tracking and capital cost allowance tracking; bank statement import and reconciliation; real double-entry books with a general ledger, trial balance, profit and loss (cash basis), balance sheet, budgets and GST/HST/PST reports; multi-currency invoicing; and read-only access you can give your accountant.

What does iBill not include?

To set expectations clearly: iBill does not run payroll, does not track inventory, does not connect directly to bank feeds (you import bank statements instead), does not read receipts automatically (receipt photos are attached, not scanned), does not offer a public API, and the Profit and Loss report is currently cash basis only.

What reports does iBill produce?

iBill provides 15 reports generated from the same double-entry accounting records, helping keep financial information consistent across reports.

Financial statements (6): Profit and Loss (cash basis, PDF and CSV), Balance Sheet (PDF and CSV), Cash Flow Statement (CSV), Trial Balance, General Ledger with drill-down by account, and Budget vs Actual (CSV). The Profit and Loss, Balance Sheet and Trial Balance can be filtered by class, location or project.

Receivables and payables (5): Accounts Receivable Aging, Accounts Payable Aging, Outstanding Invoices (CSV), Receivables Summary (CSV), and a Statement of Account for each client (PDF, and you can email it to the client).

Sales tax (3): a combined GST/HST/PST/QST report, a report for each tax type, and a detailed transaction report. Each can be run monthly, quarterly, semi-annually or yearly, filtered by province, and exported as PDF, CSV or Excel. A built-in check compares your sales tax figures with your general ledger.

Assets (1): a Capital Cost Allowance schedule (PDF and CSV).

You can also export all of your invoices, or all of your expenses, as a CSV file.

Mobile Use

Does iBill have a mobile app?

iBill is a progressive web app (PWA). You can install it on your phone, tablet or computer and open it from your home screen or applications menu like an app.

iPhone or iPad: open ibill.ca in Safari, tap the Share button, choose Add to Home Screen, then tap Add. The iBill icon appears on your home screen.

Android: open ibill.ca in Chrome and sign in. When iBill shows its Install banner, tap Install. You can also open the Chrome menu (the three dots) and choose Install app or Add to Home screen.

Computer: in Chrome or Edge, use the install icon at the right of the address bar to add iBill as a desktop app.

Your iBill account and data remain the same whether you use iBill on your phone, tablet or computer.

What support is available?

How does iBill improve over time?

iBill.ca continuously improves the Service, and features may be enhanced, updated or refined as part of ongoing product development. We communicate important changes that materially affect your use of the Service through appropriate channels, including email or notices within the Service where appropriate.

What happens if iBill's business changes?

If the business undergoes ordinary changes such as financing, partnerships, restructuring or acquisitions, we will take reasonable steps to protect your data and maintain appropriate service and privacy commitments. See our Terms of Use.
