Invoicing
With iBill, you can create a professional invoice, email it to one or more addresses, or download it as a PDF. Invoices are numbered automatically, or you can keep your own numbering series. You can add line items from a saved list of your products and services, notes, payment terms and your own terms and conditions, and attach supporting files that go out with the email.
Automatic Canadian sales-tax calculation
iBill calculates GST, HST and PST on each invoice from your client's province, across all 13 provinces and territories. You can mark a client or an invoice as tax-exempt, and enter prices that already include tax when that is how you quote.
Quotes and estimates
Send a quote by email. Your client opens it online and can accept or decline it there. An accepted quote converts into an invoice in one step, so nothing is typed twice. You can also download a branded PDF of any quote.
Recurring invoices
For work you bill on a regular schedule, set up a recurring invoice once. iBill creates each invoice on the schedule you choose, and you can pause, edit or end the schedule at any time.
Client portal
Every invoice email includes a secure link. Your client can view the invoice online, download the PDF, leave a comment, and let you know they have paid. No account is needed on their side.
Online card payments
Connect your own Stripe account and your clients can pay an invoice by card from the client portal. Stripe's standard processing fees apply. iBill adds no fee of its own.
Payment tracking
Record full or partial payments by e-Transfer, cheque, cash, debit card, credit card, bank transfer and more. The invoice status updates as you record each payment, so you can see at a glance what is paid, partially paid and overdue. For a client who pays at the time of service, you can record the payment and print a receipt in one step.
Automatic payment reminders
iBill can email your client a reminder before an invoice is due, on the due date and after it becomes overdue. Reminders are on by default, and you choose the timing in your settings. Replies go to your own inbox.
Credit notes and invoice corrections
Issue a credit note against an invoice to reduce what a client owes. To fix a mistake on an invoice you have already sent, use Correct Invoice: iBill opens a pre-filled corrected copy and links it to the original. A sent invoice can also be voided with a reason, and every change is kept in the invoice's history.
Client statements
Produce a statement of account for any client, showing their invoices, payments, credits and the balance outstanding. Download it as a PDF or email it straight to your client.
Tracking Money Out
Recording what your business spends keeps your profit figures real and your tax records ready.
Expense tracking
Record each business expense with its date, vendor and category. Every expense is posted to your books automatically, so your Profit & Loss shows what you actually earned after costs.
Receipt photos
Attach a photo or file of the receipt to each expense, including straight from your phone's camera. The receipt stays with the expense for when you or your accountant need it.
Tax separation on expenses
Enter the GST, HST, PST or QST you paid on a purchase separately from the cost itself, so the tax portion is recorded on its own rather than buried in the expense total.
Mileage tracking
Log business trips by distance. iBill applies the current Canadian per-kilometre rates, including the lower rate after the first 5,000 km in a year, and records the deduction in your books.
Vendor bills
Enter the bills you receive from suppliers, track what you owe and when it is due, and record payments against them. Accounts Payable Aging shows what is outstanding.

Is iBill free?
Yes. iBill is currently free, with no credit card required, and every feature on this page is included.
Can I bring my existing records into iBill?
Your client list imports from a CSV file, and bank statements import as CSV files. Past invoices and bookkeeping records do not transfer automatically, so most businesses start their iBill books from a chosen date, such as the start of a month or quarter.
Does iBill handle tax for clients in other provinces?
Yes. iBill calculates sales tax from your client's province, so an invoice to a client in another province uses that province's GST, HST or PST rates automatically.
Can my accountant see my books?
Yes. You can invite your accountant or bookkeeper by email. They get read-only access to your books and reports.
What does iBill not include?
iBill does not run payroll, track inventory, connect directly to bank feeds (you upload bank statements instead), read receipts automatically (receipt photos are attached, not scanned), or offer a public API. There is no app-store app; iBill runs in any web browser, including on phones. The Profit & Loss report is cash basis.
